This Privacy Policy explains how Icecream Apps Ltd processes personal data in connection with ScanChamp: PDF Doc Scanner.
For the purposes of applicable data protection laws, including the General Data Protection Regulation (EU) 2016/679 (“GDPR”), the data controller is Icecream Apps Ltd.
1.Privacy summary
In the current version of the App, document scanning, editing, OCR, AI-assisted document features, and document storage are designed to work locally on your device.
We do not receive the content of your scanned or imported documents unless you deliberately send it to us, for example as part of a support request.
The App may still process technical data, analytics data, advertising data, subscription data, and support communications as described below.
If you choose to export, share, back up, or sync documents through iCloud, Google Drive, OneDrive, Dropbox, or another third-party service, your documents may be processed by that service according to its own terms and privacy policy.
2.Personal data we may process
The data we process depends on how you use the App, your device settings, your consent choices, and the features you enable.
2.1 Documents and files
The App may process documents, images, PDF files, signatures, annotations, OCR text, folders, file names, and related content that you create, scan, import, edit, store, export, or share.
In the current version, this processing is designed to happen locally on your device. We do not receive your document content unless you deliberately send it to us.
2.2 Support data
If you contact us, we may process your email address, message content, screenshots, files, diagnostic information, and any other information you choose to provide.
2.3 Technical and usage data
We may process technical and usage data such as device model, operating system, app version, language, country or region, app settings, feature usage events, crash reports, diagnostics, performance data, error logs, IP address, app instance identifiers, and similar data.
2.4 Purchase and subscription data
If you purchase a subscription or in-app purchase, we may receive limited purchase-related data from Apple, Google, or RevenueCat, such as product purchased, subscription status, trial status, renewal status, cancellation status, transaction identifiers, country, currency, and price information.
We do not receive your full payment card details from Apple or Google.
2.5 Advertising and attribution data
The App may process advertising identifiers, attribution data, campaign data, ad interaction data, and similar information through Google AdMob, Firebase, AppsFlyer, and related technologies, depending on your consent choices, device settings, and applicable law.
2.6 Permissions data
The App may request access to device permissions such as camera, photo library, files or local storage, notifications, and cloud account permissions. Some features may not work if permissions are disabled.
You can manage permissions through your device settings.
3.How we use personal data
We may process personal data for the following purposes:
- to provide scanning, editing, OCR, AI-assisted tools, export, organization, subscription access, and other App features;
- to process subscriptions, trials, purchases, renewals, cancellations, and paid feature access;
- to provide customer support and respond to requests;
- to maintain, troubleshoot, secure, and improve the App;
- to analyze App usage and feature performance;
- to measure advertising and marketing campaigns;
- to display ads in the free version of the App;
- to prevent fraud, abuse, technical issues, and security incidents;
- to comply with legal obligations and enforce our Terms.
4.Legal bases for processing
Where GDPR applies, we rely on the following legal bases:
- performance of a contract — to provide the App, subscriptions, paid features, support, and requested functionality;
- legitimate interests — to maintain, secure, analyze, improve, and protect the App and our business;
- consent — for personalized advertising, tracking, or other processing where consent is required by law;
- legal obligation — where processing is necessary to comply with applicable laws;
- legal claims — where processing is necessary to establish, exercise, or defend legal claims.
You may withdraw consent at any time where processing is based on consent.
5.Third-party service providers
We use third-party service providers to operate, improve, analyze, monetize, and support the App.
Current providers include:
- Apple App Store and Google Play — app distribution, purchases, subscriptions, refunds, and account management;
- Google AdMob — advertising;
- Firebase — analytics, diagnostics, crash reporting, and app performance tools;
- RevenueCat — subscription and purchase management;
- AppsFlyer — attribution and marketing analytics;
- iCloud, Google Drive, OneDrive, Dropbox — cloud sync or export, only when enabled or selected by the user.
In the current version, we do not use third-party AI or OCR providers to process document content. OCR and AI-assisted document features are designed to work locally on the device.
Service providers may process personal data according to their own terms and privacy policies where they act as independent controllers, or according to our instructions where they act as processors.
6.Advertising and tracking choices
The free version of the App may display ads through Google AdMob.
Depending on your region, device settings, and consent choices, ads may be contextual or personalized. You may be able to manage advertising and tracking through:
- the consent prompt shown in the App, where applicable;
- iOS App Tracking Transparency settings;
- Android advertising ID settings;
- device-level privacy settings;
- in-app privacy settings, where available.
Disabling personalized ads does not necessarily remove all ads. It may result in contextual or non-personalized ads.
7.International data transfers
We are based in Cyprus. Some service providers may process personal data outside Cyprus or the European Economic Area.
Where required by law, we rely on appropriate safeguards such as adequacy decisions, Standard Contractual Clauses, contractual protections, and supplementary measures.
8.Data retention
We retain personal data only for as long as necessary for the purposes described in this Privacy Policy, unless a longer period is required or permitted by law.
Typical retention depends on the data type:
- support messages are retained for as long as needed to handle the request and maintain business records;
- purchase and subscription data may be retained for accounting, tax, fraud prevention, and app store compliance;
- analytics, attribution, diagnostic, and crash data are retained according to the settings of the relevant providers;
- locally stored documents remain on your device until you delete them, delete the App, reset your device, or otherwise remove the data;
- documents stored in third-party cloud services are retained according to your settings and the relevant provider’s policies.
9.Security
We use reasonable technical and organizational measures to protect personal data against unauthorized access, loss, misuse, alteration, or disclosure.
No digital service can be guaranteed to be completely secure. You are responsible for keeping your device, operating system, app store account, cloud accounts, passwords, and exported documents secure.

Depending on your location and applicable law, you may have the right to:
- access your personal data;
- correct inaccurate or incomplete personal data;
- delete personal data;
- restrict processing;
- object to processing;
- withdraw consent;
- receive a copy of your personal data in a portable format;
- lodge a complaint with a data protection authority.

If you are located in Cyprus or the European Union, you may lodge a complaint with your local data protection authority. In Cyprus, the supervisory authority is the Office of the Commissioner for Personal Data Protection.
11.Children’s privacy
The App is not specifically directed to children.
The App may be available with a low app store age rating because its content is generally suitable for broad audiences. However, this does not mean that the App is specifically designed for children or that children may use the App without parental or guardian involvement where such involvement is required by law.
We do not knowingly collect personal data from children under the age at which they may lawfully consent to the processing of personal data under applicable law without parental authorization.
If you are a parent or guardian and believe that a child has provided us with personal data without appropriate consent, please contact us at support@scanchamp.app and we will take appropriate steps.
12.Deleting data and documents
You can delete documents from the App using the available in-app controls. You can also delete the App from your device.
Deleting the App may delete locally stored documents and settings, depending on your device and operating system behavior. Deleting the App does not automatically cancel subscriptions purchased through Apple or Google.
If documents have been exported, shared, backed up, or synced to a third-party service, you may need to delete them separately from that service.
13.Changes to this Privacy Policy
We may update this Privacy Policy from time to time. The updated version will be made available in the App or on our website.
If changes are material, we may provide additional notice where required by law.
